Terms and Conditions
Services
Bodimatrix Wellness LLC provides personal training, virtual coaching, corporate wellness programming, and Business English coaching services. Services are delivered in-person, virtually, or in hybrid format depending on the program selected. All sessions are conducted by Keven Brown or designated Bodimatrix Wellness representatives.
Scheduling and Session Policy
Sessions are scheduled based on mutual availability between the client and coach. Clients are responsible for booking sessions using the scheduling link provided at the time of enrollment. Session frequency and total session counts are determined by the package or agreement in effect. Sessions do not carry over beyond the term of the active agreement unless otherwise specified in writing.
Cancellation Policy
A minimum of 48 hours advance notice is required for all session cancellations or rescheduling requests. Cancellations made with less than 48 hours notice will result in forfeiture of that session. Exceptions may be made at the sole discretion of the coach in the case of a documented medical emergency. Late cancellations due to illness or healthcare provider restrictions may be credited at the coach's discretion with appropriate documentation.
Payment Terms
Payment is due prior to or at the time of service unless a separate invoicing arrangement has been established in writing. Accepted payment methods include Stripe, PayPal, and other methods designated by Bodimatrix Wellness LLC. All fees are listed in USD. Bodimatrix Wellness LLC reserves the right to update pricing with reasonable advance notice. Existing agreements will honor the rate in effect at the time of enrollment for the duration of that agreement term.
Refund Policy
All payments are non-refundable. In the event that a client is unable to complete a purchased package due to documented medical reasons, session credits may be issued at the coach's discretion. Credits are non-transferable and must be used within the timeframe specified in the applicable agreement.
Health and Medical Disclaimer
Clients are responsible for disclosing any known medical conditions, injuries, or physical limitations prior to beginning any training program. Bodimatrix Wellness LLC strongly recommends that clients obtain medical clearance from a licensed healthcare provider before starting any new exercise or wellness program. By engaging services, clients affirm that they are physically capable of participating in the agreed-upon program and assume full responsibility for any risks associated with physical activity.
Limitation of Liability
Bodimatrix Wellness LLC and its representatives shall not be held liable for any injury, loss, or damage arising from participation in any coaching, training, or wellness program. Clients participate voluntarily and acknowledge that physical exercise and wellness activities carry inherent risks. This limitation applies to both in-person and virtual sessions.
Confidentiality
Bodimatrix Wellness LLC respects the privacy of all clients. Personal health information, progress data, and communications shared during coaching engagements will not be disclosed to third parties without written consent, except as required by law. Clients consent to the use of anonymized, aggregated data for program development and reporting purposes.
Intellectual Property
All training programs, coaching materials, curricula, and content provided by Bodimatrix Wellness LLC are the intellectual property of Bodimatrix Wellness LLC. Clients may not reproduce, distribute, or share proprietary materials without prior written consent.
Governing Law
These Terms and Conditions are governed by the laws of the State of Illinois. Any disputes arising from services provided by Bodimatrix Wellness LLC shall be resolved in accordance with Illinois law.
Modifications to Terms
Bodimatrix Wellness LLC reserves the right to update these Terms and Conditions at any time. Clients will be notified of material changes prior to their effective date. Continued engagement of services following notification constitutes acceptance of the updated terms.
Payment Acceptance By submitting payment, the client acknowledges that they have read and agreed to these Terms and Conditions in full.
